Invoice

To process the invoice for the customer, follow these steps:

Access the "Invoice Pending" tab within Accounts > Customer to start the invoicing process.

By default it displays trips in POD Received Status in the Invoice Pending tab.

User can view trips at various statuses by using the status filter located in the status column. Choose the specific status (such as "In Transit," "Loaded," etc.) to view corresponding trips.

Once user selected the desired trips, the system will filter and display trips based on the chosen status.

To invoice trips, select the trips by checking the checkboxes in the Action column.

After selecting first trip, The system automatically filters trips based on the customer, allowing user to invoice multiple trips for a specific customer using this filter.

The total amount for the selected trips will be displayed at the top of the page for user reference.

Once the desired trips are selected, the "Invoice" button at the top right corner of the page will be enabled.

Click on the "Invoice" button to access the invoice module, providing detailed information about the selected trips, including Trip ID, Customer name, Source, Destination, Truck No, GST calculation, Add and Reduce charges.

Within the Invoice Module :

Trip Details: The module displays comprehensive details regarding trip addresses (both pickup and delivery), courier specifics, Docket number, invoicing date, dispatch details, and related images.

Address Information: Users can access the complete pickup and delivery addresses associated with each trip.

Courier Details: Information about the courier engaged in the trip, including their name and any relevant particulars.

Docket Number: A specific identification number assigned to the trip for tracking purposes.

Invoicing Date: The date when the invoice is generated or issued for the trip.

Dispatch Information: Details about the individual responsible for dispatching the trip.

Image Repository: Any related images, such as proof of delivery or supporting documents, are conveniently accessible within this module.

GST Calculation in the Invoice Module:

In the Invoice module, user will find accounting details displayed on the left side, including Trip Price, Charges (both additional and reduced charges), Total Invoicing Amount, Received Amount, Balance Amount, and GST. This section provides a comprehensive view of the financial aspects related to your trips.

GST Calculation Options:

  1. GST Inclusion/Exemption: Users have the flexibility to decide whether they require GST for a particular trip or if they are exempted from it.
  2. Enabling/Disabling GST:
  3. To Include GST: If GST is required for the trip, simply check the checkbox labeled "GST Exempted."
  4. To Exclude GST (Exempted): If the trip is exempt from GST, uncheck the checkbox labeled "GST Exempted."

Note : If there are any pending requests associated with a trip, the invoicing process for that particular trip will be temporarily restricted. To proceed with invoicing, users are required to process any pending requests before initiating the invoicing action. The "Invoice" button will only be enabled after all pending requests have been addressed and resolved.
